Minutes of Last
Minutes of last meeting had been circulated and were agreed to be a fair account of proceedings. Proposer Karen seconded by Simon.
Matters arising from minutes
Assisted bicycle-not delivered yet, still in hand, Hala has the information about this.
Funding update
Denis reports that funding from Swestrans (£20000) and Regionwide Community Fund (£5000) to carry on the bike project is close to being achieved. This would mean that there would be funding for delivery of activities, bike hires, dr bike, bike activities with the school, and also some funding for overall project management for Denis Rowan and Jesse and potentially Stuart. The ebike steering group will need to meet and add new members. And project workers will need to have new contracts and job descriptions.Karen has templates for job contracts she can share. To be actioned by ebike group with input from trustees.
Summer of Fun Activities
The funding application put in by Jen was partly successful but the grant(£1000) would not cover all the proposed activities so the project has been scaled down and There will now be two minibus trips for Auchencairn children and their parents on the 5th July and 5th August-Denis to facilitate this. Suggestions for destinations to Denis who will.run the trips. Thoughts so far GAC, beach trip, cycling related trip.
Community Transport Consultation
Denis and Hala have applied to Community Led Local Development for funding(£5000) for a Community Transport consultation project, decision on this application expected late June early July.
Activities for Climate Week
Seed Fund application [£1000] sent to provide activities during climate week in September/October. This could be for talks, climate discussion, showcasing ACTs progress so far.
Community Owned Renewables
More on funding-discussion around looking at the energy saving trust fund set up for communities to access community owned renewables. Agreed this would be worth looking into but would be best as a joint project with Auchencairn Initiative and Community Council. Susanna to air this with AI and Simon to air with CC.
Core roles
Denis asking for a job description for his role and clarity on what is wanted in relation to developing this any further. Discussion around this and support for development of core roles. Also discussion around voluntary work for ACT and paid work. To be continued.
Role of active group and trustees.
Currently active group and trustees and pretty much the same people. Discussed how to widen this out again. Trustees are there to ensure ACT is run in accordance with SCIO and that all policies and legal framework in place. Active group making decisions around activities, funding, developnent etc.
Communications
There is a website but it is inactive at present. Those at the meeting felt it would be fine to put minutes, newsletters etc up on the website so that they could easily be found, with a note to say Website Under Development or Temporary . Simon has the website in hand and will action this.
Minutes- discussion on getting these out a bit quicker. They don't need to be sent round everyone who was at the meeting first. Minutes can be sent out as DRAFT and altered if needed.
Please remember to hit Reply all amd make sure that you have the full list of active group when sending emails.
SCIO membership email
Letter to entire ACT mailing list inviting them to become members of ACT SCIO, drafted by Karen, circulated and read at the meeting, to be sent out. Karen to do this.
AOCB
Jen's requesting £25 for solar controller for the irrigation system for the allotments. Auchencairn Initiative is also looking at mains water for the allotments. Put off decision on solar controller until this is more clear.
Susanna intends to move funds from RBS to BOS bank account and close RBS account. Denis states all funders have been given the new account number for transferring funds.
Date of next meeting
This will be a doing meeting, with plenty of talking as we do.
