Minutes of last meeting – approved**.**

Propose John, Seconded Lee

Matters arising

Bank account has been opened with Bank of Scotland.

Crichton Carbon Centre has been approached for a thermal imaging camera, no response yet. John proposes an infra-red thermometer as a cheaper alternative. Alternatively, John suggest an infrared thermometer could be obtained (£70) which enables the user to check the temperature of walls / floors / ceilings / window frames etc to identify heat loss. No funds have yet been found for a thermal imaging device.

Update on PVG and safeguarding

Under new regulations anyone working with children needs to have Protection of Vulnerable Groups checks and certification. This includes people doing e.g. bike bus escort. Reports about safeguarding concerns with any of our employees or volunteers should be made in writing to Lee. We have a safeguarding policy, which Lee is updating to bring into accord with the new regulations.

Updates on ACT activities

Art exhibition and cabaret

Going ahead; sufficient artworks and acts have been volunteered, but more would be welcomed. Art exhibition 8th-22nd April; cabaret evening of April 19th

Funding for hall hire from DG Climate Hub to make art exhibition possible

MacCan visit

Both our visits to them, and theirs to us, went ahead and were successful.

Bike Project

Open Day

Happened and was well attended and successful.

Bikes for children

Jif: should ACT seek to ensure every child in the village has a bike? Yes!

Bikes for all. All agreed that providing bikes for all children and young

people in Auchencairn and surrounding area could be a suitable project

to seek funding for.

Accounts

Balance in hand £11,146.19

Funding update

Denis is busy submitting expressions of interest to potential funders, no decisions yet.

Jenny is applying to Corra for up to £3,000 and to Children in Need for up to £15,000 in support of planting projects. We're not clear whether this is a new application; could Jenny confirm?

Proposed Funding Application for Development Worker

Denis has identified a fund which would give the opportunity to apply for funding for a development worker. This fund has opportunities for submission every three months. We have not yet agreed this role. We feel there is no urgency to apply now.

Development Worker Job Description

Hala has distributed a proposed job description for a development worker. We appreciate this work and thank her for it, but have not yet agreed this role.

Update from accountant

A balance sheet has been prepared covering 2023-24 and will be prepared for 2024-25.

Supporting letter for Auchencairn Initiative

Auchencairn Initiative are applying to the Coastal Benefits Fund for money to repair the Hugh Paton Path. We agree to provide a letter in supprt of this application; consequently, we shall not apply to the Coastal Benefits Fund ourselves in this round.

Painting Logo on cabins and other places

We agree to commission Rosie Giblin, as designer of the logo, to hand paint it on the cabins and on other items.

we have asked Rosie to do some follow up work on the logo/branding development and would like to pay her for the 9 hours she has spent at that so far. This would amount to: £17.75x9 = £159.75

she could also paint 1 large logo on the double doors of the container, a name on the workshop and a heading on a notice board at the entrance to the site cost for this would be labour: £585.75 + materials: £100 = £685.75

we would also like her to do a screen printing workshop to print our new logo on hi-viz vests and t-shirts. This would leave us with a stencil and screen which could be reused for more screen printing later. Cost for this would be labour: £266.25 + materials: £170 = £436.25

Adaptive Tricycle

We have been offered a new recumbent hand-cycle for free. Cycling UK have offered to give ACT an adaptive bike plus a day training. Cycling UK will do an asset transfer. The equipment needs to stay in D&G. We will aim to make it available in the wider D&G area.

We confirm that we would be happy to accept this.

Date of Next Meeting

7th May at 7pm. Outdoor, all action meeting.

At the bike sheds.
